1. Privacy at a Glance
General information
The following notes provide a simple overview of what happens to your personal data when you visit our website. Personal data is any data by which you can be personally identified.
2. Data Collection on Our Website
Application form
When you send us an enquiry via the application form ("The Application"), the details you provide in the form — including your name, date of birth, place of residence, professional status, industry, education, spoken languages, relationship intent, statements on family values and future vision, intercultural experience, willingness to relocate, willingness to undergo an identity check, e-mail address and a social media profile — are stored by us for the purpose of reviewing and processing your application. We do not pass this data on to third parties without your consent.
This data is processed on the basis of Art. 6(1)(b) GDPR (steps taken at your request prior to entering into a contract, i.e. assessing your application). We do not additionally ask for your consent to this processing, because consent is not the legal basis for it — asking for both would make neither basis clear. Where we do rely on consent for something separate, such as sending you optional news about Odo, we ask for it on its own, kept apart from your application, and you can withdraw it at any time with no effect on your application.
Retention period
Application data is delivered to us by e-mail and stored there for as long as is necessary to process your application, but no longer than 12 months after submission or after a rejection. At your request, we will delete your data earlier (see section 4).
Where your data is stored
Your application data is stored on servers located within the European Union. This applies regardless of the country you apply from — because we are established in Germany, your data is processed under the GDPR wherever you live, and we keep it within the EU rather than transferring it to a third country.
Service providers
We use OVH (OVH SAS, France) for website hosting and e-mail. OVH processes your data on our behalf and on our instructions only, under a data processing agreement. We do not currently use any other processor for application data. Should that change, we will update this policy before the new provider begins processing.
Recipients
Within our own organisation, your application is seen only by the people who review applications. We do not sell your data, and we do not share it with other members or with any third party for their own purposes.
Is providing this data required?
Submitting the application form is voluntary. Providing the requested fields is, however, necessary for us to assess your application — without them we cannot process it. Declining to provide a required field means we are unable to consider your application.
Local fonts
To ensure a consistent presentation of typefaces, this site uses local web fonts. These web fonts are embedded locally (on our own server). No connection to servers operated by Google or other third parties is established, which means no personal data (such as IP addresses) is transferred to third parties.
3. Your Rights
You have the right at any time to obtain information about your stored personal data (Art. 15 GDPR), its rectification (Art. 16), erasure (Art. 17) or the restriction of its processing (Art. 18), as well as the right to data portability (Art. 20). Because our processing is based on Art. 6(1)(b) rather than on consent, you additionally have the right to object to it on grounds relating to your particular situation (Art. 21 GDPR); where you have given us separate consent for something else, you may withdraw it at any time with effect for the future. To exercise any of these rights, please contact us or our data protection officer at the addresses given below.
